Multi-stakeholder work: How not to lose the content of your note?

When many people are working on the same record, you need to make sure to exit the clinical note before someone else starts working on the note.

Here’s a typical case: A patient arrives at the clinic and meets the nurse. She starts a note by adding his vital signs and writing down the reason for consultation. Then the patient goes to the doctor’s office and completes the note started by the nurse.

Steps to follow

This case shows the advantages of shareable files and of the current clinical note. However, it’s important to follow the following steps:

  1. When the nurse is done with the patient, she has to save the note.
  2. Then, she needs to leave the patient’s file or at least the note.
  3. The doctor can then open the patient’s record and retrieve the current clinical note.
  4. Finally, he can save or complete the note.

What will happen if you don’t follow the steps

If the nurse doesn’t leave the note and the doctor opens it he will unfortunately not be able to save the note.

⚠️ If you don’t want to lose your note, make sure to follow these steps as it is not possible for two individuals to work on the same note simultaneously. This causes a conflict in the system and one of the two people is sure to lose its content.
